Even with the best planning, the final week before your event can feel overwhelming. Whether you're hosting a corporate mixer, private dinner, or celebration in our garden or breezeway, there are always a few key details that can make your event feel smooth, stress-free, and ready to go. Here are our top 10 reminders to help you feel confident and prepared before your event at Bonaventure Brewing Co. We can't wait to celebrate with you! 1. Confirm Your Final Headcount
We ask for your final guest count 7 days prior so we can prepare enough food and staff your event appropriately. If you’re unsure, round up slightly. It’s much easier to have a few extra plates than to run short. 2. Send Parking Info to Guests Our venue is located on the 4th floor of the Westin Bonaventure Hotel. Let guests know to enter through the hotel lobby and take the escalator up to find our garden space. Allow extra time for parking, especially during evenings or weekends. Downtown LA can be busy, and structures can fill up quickly. 3. Share Vendor Arrival and Load-In Info Vendors should check in with our event team or hotel security upon arrival. We’ll provide loading instructions in advance. Encourage vendors to bring carts or dollies, especially if they have bulky or multiple items. The hotel has elevators, but having a cart helps speed things up. 4. Review Your Timeline If we’ve built your run-of-show together, review it one more time and send it to anyone helping you manage the event. Include guest arrival, food service, bar timing, toasts, and breakdown. If you’ve made any changes, let us know so we can update staffing and flow on our end. 5. Designate a Go-To Person Our team will be on-site to oversee venue logistics, but it’s always helpful to assign someone from your group as your point person. This person can help vendors with questions or handle anything that comes up so you can enjoy the event. 6. Prep a Day-Of Kit Some useful things to pack for peace of mind:
7. Confirm Any Special Meal Requests If you’ve collected vegetarian, gluten-free, or allergy-friendly meal requests, make sure they’re included on your final form. Our kitchen will label those meals clearly and ensure they’re prepared with care. 8. Walk Through the Guest Experience Try to picture what it feels like to arrive as a guest:
9. Prep for Wind and Weather If you’re hosting outdoors in the garden, make sure any signs, place cards, or lightweight decor are secured in case it gets breezy. Wind tends to pick up most in the afternoon and evening. We recommend weighted bases for signs and heavier decor for tables. Let us know if you need suggestions for layout adjustments or tie-down options. 10. Take a Moment for Yourself Before guests arrive, give yourself 5 minutes to step outside, take a deep breath, and enjoy the view. You’ve done the work. You’ve answered all the emails and made all the decisions. Now it’s time to enjoy the event. Our team is here to support the flow and take care of the details. More Resources to Help You Prep:
