How Long Should Your Event Be? Why 2 to 4 Hours Is the Sweet Spot at Bonaventure Brewing Co.

If you’re planning a private party, corporate mixer, or university celebration at Bonaventure Brewing Co., one of the biggest decisions is how long your event should be. While longer rentals may sound appealing, we’ve found that most of the best events happen in 2 to 4 hours. In fact, the majority of our bookings fall into the 3 to 4 hour range, which we’ve found to be ideal for most celebrations.
Here’s why we recommend this approach, what typical timelines look like, and how to keep things smooth even when guests arrive fashionably late.

​Why We Recommend 2 to 4 Hours
Most events at our Downtown LA event venue are fast-paced, social, and meant to be fun, not drawn out. Our goal is to help you host something that feels polished, energetic, and successful. We’ve found that 2 to 4 hours is the sweet spot for keeping the room full and the experience impactful.
Here’s why:
  • Guests are most engaged in the first few hours of any event
  • Keeping the program tight prevents downtime or lulls
  • You save on staffing, bar service, and vendor hours
  • Everyone leaves on a high note, not because they’re tired or ready to go
While weddings are often longer, most non-wedding private events work best with a shorter timeline that’s purposeful and well-paced.

Yes, People Are Usually Late
This is something not many venues talk about, but it’s important. Even with a 6:00 PM start time, many guests will arrive closer to 6:30 PM. For social events, especially after-work gatherings or casual parties, guests tend to trickle in during the first 30 to 45 minutes.
We recommend planning your timeline around this pattern by:
  • Scheduling dinner service around 30 to 45 minutes after doors open
  • Keeping speeches or announcements after that first wave of arrivals
  • Making sure there’s a welcome drink or appetizers available as people arrive
A shorter timeline that builds momentum quickly will keep everyone involved once they’re present.

Sample Timelines
We often get asked how to fit everything into just 3 or 4 hours, especially if sound ends at 10 PM. The good news is, you absolutely can — and we’ll help you structure it in a way that works.
Here are some examples of real timelines that work perfectly at our Los Angeles event venue:
Example 1: 6:00 PM to 9:00 PM Cocktail Party
  • 6:00 PM – Doors open, welcome drink station and passed appetizers
  • 6:30 PM – Buffet or dinner stations open
  • 7:15 PM – Toasts and brief remarks
  • 7:45 PM – Mingling, dessert, photo booth or casual dancing
  • 9:00 PM – Wrap-up and farewells
Example 2: 6:30 PM to 10:00 PM Dinner + Dancing
  • 6:30 PM – Guest arrival, open bar
  • 7:15 PM – Dinner service begins
  • 8:00 PM – Toasts or speeches
  • 8:30 PM – DJ or playlist starts, dance floor opens
  • 9:45 PM – Dessert or coffee station
  • 10:00 PM – Sound ends, guests begin departing
Example 3: 7:00 PM to 10:00 PM University or Corporate Event
  • 7:00 PM – Guests check in, bar opens
  • 7:30 PM – Program begins with a welcome speech or presentation
  • 7:45 PM – Food stations open
  • 8:30 PM – Award ceremony, slideshow, or short games
  • 9:30 PM – Last call, group photo, or closing remarks
  • 10:00 PM – End of event
Each of these includes everything you need for a great evening — food, drinks, speeches, and celebration — all while respecting our 10 PM sound policy.

Why We Discourage 5+ Hour Events (Unless It’s a Wedding)
Some clients request 5 or 6 hour events thinking it gives them more flexibility. But unless there’s a strong reason, we encourage you to reconsider. Here's why:
  • Guests typically don’t stay more than 3 to 4 hours anyway
  • Longer events often lead to gaps in programming or people leaving early
  • Extra time means extra costs: additional staffing, bar service, security, and vendor coordination
  • You may need to serve food twice or keep the bar open longer than necessary
  • It can feel less exciting when there’s no clear ending point
We want your event to feel full, memorable, and high-energy. And that’s exactly what shorter events provide.

How Bar and Food Service Fit Into Your Timeline

Most of our events include 3 hours of bar service and around 2 hours of food service,  whether that’s a buffet, stations, or passed appetizers.
This structure works really well within a 3 to 4-hour event window. Your guests have time to enjoy cocktails, eat, toast, and celebrate without any downtime.
However, for longer events, this creates a challenge:
  • Bar service may need to be extended, increasing your beverage costs
  • Food service can’t realistically stretch across 5+ hours unless you plan for a second meal or late-night snack
  • The energy often dips when the bar closes or food service wraps, unless there’s something else to keep guests engaged
If you book a long timeline but don’t extend bar or food service, guests will likely notice the gap. If you do extend them, your event becomes more expensive and more staff-heavy.
That’s why we recommend building your programming to work within a well-paced block that includes bar service, food service, and celebration, all while the party feels alive.


Weddings Are the Exception
We do offer longer blocks for weddings and receptions, which typically require more time for:
  • Ceremonies
  • Cocktail hour transitions
  • Formal dinner service
  • Dancing and vendor tear-down
Weddings are usually booked for 5 to 6 hours, and our team will help you create a timeline that works for that format. But for social, corporate, or milestone events, 3 to 4 hours is ideal.

Setup Time Is Not Included
Your booked time is only for the guest-facing portion of the event. We always build in setup time on our end.
Here’s how setup usually works:
  • Our team begins preparing the space 3 to 4 hours before your event begins
  • Vendors are welcome to arrive up to 2 hours before guest arrival
  • If you need more time, we’re flexible and happy to coordinate special vendor access
You won’t need to stress about extra charges or early arrival fees — we’ll handle the logistics to make sure the space is perfect before your first guest walks in.

Final Thoughts: Keep It Focused and Fun
There’s a reason that most of our favorite events — and our most satisfied clients — book 3 or 4 hour windows. It keeps things moving, maximizes guest engagement, and allows us to deliver an elevated experience from start to finish.
